Board of Directors

The Board welcomes questions and comments from homeowners. You can submit the Contact Us Form to contact the Board as a whole regarding various topics or email a Board member directly using the contact information in each profile below.

 

The Board also provides an open forum for homeowners' questions and comments during the monthly regular board meetings. These conversations provide the Board with the opportunity to get to know and improve the community as well as provide clarity and understanding.  

Current Board of Directors

HOA Board of Directors Roles and Responsibilities 
HOMES ASSOCIATION DECLARATION, SECTION 9: BOARD OF DIRECTORS 

The Association shall have a Board of Directors not less than seven (7) nor more than nine (9) in number, elected in accordance with its Articles of Incorporation and By-Laws, who shall be charged with the management of the Association.

GENERAL RESPONSIBILITIES
​
  1. Minimum commitment of a one-year term with a preferred commitment of two years.  Board members will be allowed to serve for up to six consecutive years 

  2. Beginning 2023, a 50% discount to HOA dues will be applied to the 1st year of service for all board members and then 100% each subsequent year of service 

  3. Regularly attend and prepare for monthly Board meetings  

  4. Make a serious commitment to participate actively in Board discussions 

  5. Review and respond to Board email at least 2x weekly 

  6. Prepare and approve necessary organizational policies 

  7. Stay informed about Board matters, prepare themselves for meetings, and review and comment on issues of importance 

  8. Respond to requests for feedback or decisions between meetings in a timely manner. 

  9. Understand financial statements  

  10. Build a collegial working relationship that contributes to consensus. 

  11. Ensure the HOA governing documents are followed and enforced. 

ROLES AND RESPONSIBILITIES BY POSITION

President

  • Ensure facilitation of board meetings after developing the agenda with Board Directors 

  • Actively recruits new board members and helps to retain current board members.  

  • Provides leadership and direction to the HOA Board of Directors 

  • Encourages transparent communication between all Board members. 

  • Helps guide and mediate Board actions with respect to organizational priorities and governance concerns. 

  • Participates in the creation and implementation of the strategic plan. 

  • Ensures that timelines are met and that parties are accountable for their responsibilities within the strategic plan. 

  • Encourages board participation in the strategic planning process. 

  • Recommends members for committees and appointing committee chairs 

  • Arranges for or takes part in new board member orientations 

  • Works with the appropriate or individual to recruit qualified new board members, candidates 

  • Serves as the HOA spokesperson as needed 

  • Sign all contracts and other legal documents pertaining to the association, and co-sign all checks, alongside the treasurer. 

  • Communicates as needed with Board of Directors to ensure that action items are met and that activities are in-line with the mission and vision. 

  • Discusses issues affecting the organization with the Board and any other relevant parties. 

  • Monitors financial planning and financial reports.

Vice-President

  • In absence of President, coordinates facilitation of board meetings, ensures agendas and minutes are distributed, and implements the strategic plan. 

  • Helps the President to develop and implement office transition plans. 

  • Performs other responsibilities as assigned by the board. 

  • Serves as Architectural Review Committee Chair, facilitates votes among board members. 

  • Actively recruits new board members and helps to retain current board members. 

  • Provides leadership and direction to the Board of Directors. 

  • Ensures transparent communication between all Board members. 

  • Helps guide and mediate Board actions with respect to organizational priorities and governance concerns. 

  • The Board President may assign special duties to the Vice President.

Treasurer

  • Oversees all revenues and expenses and creates financial statements (balance sheet, income statement, and cash flow statement) and communicates this information to the Board monthly. 

  • Responsible for managing the budget, keeping all financial records and serves as custodian of funds 

  • Oversees any financial agreements, approves invoices and reimbursements and responsible for signing and distributing association checks.  

  • Acts as an official signer on the bank account and works with President on larger fund distributions 

  • Works with the Board to create the HOA’s budget draft and seeks approval from the board on annual budget. 

  • Communicate information to Title Companies for selling of homes 

  • Ensures development and board review of sound fiscal policies and procedures. 

  • Oversees any financial agreements. 

  • In cooperation with the board officers, accepts responsibility for filing annual tax forms as required by the state or the IRS. 

  • Provides an Annual Financial Report to the HOA.

Secretary

  • Responsible for providing proper notice of board meetings (in collaboration with Communications Director), recording accurate meeting minutes, and taking roll at Board meetings.  

  • Responsible for distributing documents, such as official records, agendas, meeting minutes, and meeting recordings, on a timely basis to Board of Directors 

  • Maintain and preserve all HOA records in a secure file-sharing system to store and distribute digitally, ensuring accessibility to Owners. 

  • Monitor legal compliance with the organization’s bylaws and other matters 

  • “Board expert” on policies and procedures, including all governing documents.   

  • Prepared to call attention to policies and procedures during board meetings and decision-making processes to ensure that the board is transparent, ethical, and compliance 

  • Ensures the association meets all legal documentation requirements, such as annual filing deadlines.  

  • Oversee list of Owners and ensures key contact information is current. 

  • Track board member terms to ensure successful rotation of board members

Communications Director

  • Ensures homeowners are always informed when it comes to community news or updates. 

  • Responsible for community newsletters, email blasts, HOA website, and HOA social media accounts. 

  • Responsible for distributing documents, such as official records, agendas, meeting minutes, and meeting recordings, on a timely basis to homeowners 

  • Manage the community’s social media communications. 

  • Manage the community’s website platform and communications, including management of member access, and ensuring information is accurate and up to date 

  • Create and produce newsletters for the organization. 

  • Write, edit, and distribute diverse types of content, including material for a website, social media, email communications, and any other mass communications to the community. 

  • Responsible for reviewing/communicating invoices for owned projects and ensuring payment to vendors in collaboration with Treasurer  

  • Participates in the development of annual operating budgets

Grounds Director

  • Ensures that both the community’s properties and homeowners’ properties are well taken care of with the goal of maintaining the community’s property values.  

  • Responsible for management and communication with vendors servicing community common ground services 

  • Review potential landscape and common group improvements. Develop written detailed statements of work to correct identified deficiencies and provide such to the Board for review and comment. 

  • Organize and supervise volunteer projects to improve common groups. 

  • Fields homeowner requests for common ground maintenance and repairs and provides prioritization recommendations to the Board as needed. 

  • Responsible for reviewing/communicating invoices for owned projects and ensuring payment to vendors in collaboration with Treasurer  

  • Participates in the development of annual operating budgets

Social Director

  • Responsible for planning and executing community events to create neighborhood camaraderie, fellowship, and sense of community.   

  • Develops a list of proposed social events for the upcoming calendar year, including a proposed schedule and budget, and submits to Board.  

  • Identifies areas of "need" for new social events (i.e., ensures that events are planned to include singles, families, children, seniors, different interests, and backgrounds, etc.) 

  • Ensures overall adherence to annual budget and provides written accounting to the Board. 

  • Ensures that all receipts associated with events are properly submitted to the Treasurer for reimbursement, if needed.  

  • Monthly reporting of events, successes, difficulties, and issues to the Board during monthly Board Meeting 

  • If desired, recruit volunteers and organize a social events team assuring that they are HOA members, to assist with planning and execution of social events. 

  • Maintains the inventory of all leftover supplies from each event.  

  • Collaborate with communications Officer to publicize HOA events 

  • Responsible for reviewing/communicating invoices for owned projects and ensuring payment to vendors in collaboration with Treasurer  

  • Participates in the development of annual operating budgets 
     

Pool Director

  • Oversees and coordinates facility administration, including scheduling of facility operations and contract management. 

  • Oversees the maintenance of the pools, to include chemistry, climate control, cleanliness, and related maintenance. Monitors for hazards, broken or damaged equipment or fixtures.  

  • Ensures that all appropriate water, environmental, health and safety standards are maintained; ensures pools are compliant with all local, state, and national requirements and current on all necessary certifications required for operation. 

  • Develops and maintains records of operational facility usage; monitors and maintains inventories of pool equipment and supplies. 

  • Offer solutions to resolve any issues that may arise regarding pool usage.  

  • Work with the Secretary and Treasurer to ensure pool key cards are distributed and appropriately activated and deactivated as needed. 

  • Reviews the pool rules and regulations annually and presents recommendations for changes to the Board of Directors for consideration. 

  • Recruits and manages Pool Assistant to serve as “pool closer” as need is determined  

  • Responsible for reviewing/communicating invoices for owned projects and ensuring payment to vendors in collaboration with Treasurer  

  • Participates in the development of annual operating budgets

Member at Large

  • Duties and responsibilities are not fixed but vary according to the association's needs and as directed by other board officers.
